As a Scheduling Coordinator you will be responsible for the critical day to day scheduling of all patient services employees, including coverage for daily and ongoing absences, overtime/extra hours and ensuring maintenance of timely and accurate schedules in the Human Resources Information System (Quadrant). Additional responsibilities include but is not limited to payroll processing, vacation approvals, and collective agreement administration. You will also provide support for the assigned team in their daily activities to ensure that patients receive prompt, effective customer service.

What will you do?
- Assign and fill vacant shifts with some independence based on pre-determined criteria, and seeks management guidance when deviations are required to address operational priorities
- Confirm casual/relief staff schedule with Patient Services leadership team on a weekly basis
- Enter planned and unplanned absences in HRIS (Quadrant)
- Create and post schedules on the HNHB Ontario Health atHome Intranet
- Maintain and assign daily HR Support-Line tickets and completes task/request within 48 hours
- Complete biweekly Time Verification Report review and makes corrections to the schedules
- Work with payroll personnel to make adjustments where appropriate
- Monitor the attendance line several times per day
- Notify management as required for follow-up
- Review and process requests for planned absences (i.e. vacation, float time, union leave, education, etc.) for unionized employees based on Patient Services team quotas and seniority
- Monitor absence line and fills the shifts for unplanned absences
- Provide an overview of scheduling for new staff
- Respect ethnic, spiritual, linguistic, familial and cultural differences
- Contribute to the professional growth of the HR team through active participation in and contribution to the achievement of departmental priorities
What you must have?
- Post-Secondary Certificate or Diploma in Office Administration or equivalent experience
- Experience related to the specific portfolio (Patient Services Administration or Scheduling)
- Knowledge of HRIS (Quadrant)
- Good working knowledge of computerized payroll system
- Good knowledge of Ontario Health atHome operations and organizational structure, Collective Agreements (i.e. entitlements, scheduling processes, Letters of Understanding)
- We have a mandatory COVID-19 vaccination policy. As a condition of employment, all employees are required to submit proof of COVID-19 vaccination status prior to start date
